Closing the Loop on Case Management Impact Reporting

All nonprofit professionals want to make a difference. Showing that you’re able to do so, however, can make or break an entire organization. Accurate case management reporting is vital to winning over your clients, donors, funders, and even potential staff members. 

With the right software tools, you can put solid numbers to all of the good that your organization does. You can also measure the effectiveness of your programs and campaigns, so you know how to best allocate your funds. 

Today, we’ll be going over how comprehensive case management reporting can transform your organization. Plus, we’ll provide examples of some reports you can pull to gauge the effectiveness of your funding and staffing efforts.

 

Why Case Management Reporting Matters

Accurately reporting on your program and case management data can give you a better understanding of where you’re succeeding and where there is room for improvement. 

It can also provide those same understandings to your stakeholders. 

It’s important to keep all of your stakeholders informed on how your organization is progressing. Data makes that process much easier. 

For example, if you go to the board and say “volunteers are spending too much time on indirect services”, they might not see it as a big deal. 

However, if you go to your board and say “we’ve experienced a 17% decrease in volunteer retention. It might be due to the fact that, on average, our volunteers are spending over 340 hours a month on indirect services”, that might get some wheels turning. 

Your program and case data has the power to create change within your organization by showing where there are opportunities for refinement. 

 

3 Reports Your Organization Might Be Missing

 

Your Referral Data

How are clients finding and coming into your organization? You may have an idea, but without the data to back it up, you may not have any solid evidence to invest more effort in that source of referral.

Your client and case management solution should be able to pull referral sources from your data, and package it so that it’s easy to see what resource is making the greatest impact on your organization—and which is making the least.

Your Client Participation Data

Knowing which of your projects or programs receives the most participation is fundamental to finetuning your initiatives.

For example, if you can see that your clients definitely prefer one of your program offerings to another, you might want to think about what is causing that preference. Ask your team questions like:

  • What are we doing differently for Program A that we’re not doing in Program B?
  • Can we update the processes around Program B to increase its success?
  • Does Program B need significant retooling? 

Questions like these that can guide you in the ongoing success of your projects. But, as they say, you don’t know what you don’t know. That’s why you need to make sure that your software choice provides you with robust reporting that keeps you in the loop. 

Your Volunteer Participation Data

If your organization relies heavily on volunteers, you’re going to want to know everything you can about what makes a successful volunteer experience. 

You can use volunteer activity reports to get a better understanding of how they’re spending their hours, which is critical for proper staffing and resource allocation. Are your more popular programs getting proportionate attention from your volunteer pool? You can also use the data to infer which client services require more hands-on assistance than others, which can assist with funding decisions.
